Common questions

Accounts and access

An officer can't log in

Most of the time it is a saved browser password from a previous account. Have them clear the saved credentials for the site, or try a private window, then type the email and password by hand.

If that isn't it, an operations manager can send a fresh invite from Team → the officer → Resend invite. The link is single-use and expires after 72 hours.

How do I invite a client to the portal?

Go to Clients, create the contact, and choose which sites they are allowed to see. When you send the invite, the system emails them a single-use link to set their own password. You never handle a temporary password, and neither do they.

Client accounts can only see reports your team has reviewed and approved, and only for the sites you granted. They cannot see anything else in your operation.

An invite link expired

Invite and password-reset links are single-use and expire after 72 hours by design. Send a new one from the same screen — issuing a new invite automatically invalidates any older unused link for that person.

Someone left the company. What do I do?

Deactivate their account rather than deleting it. Deactivating ends their access immediately while keeping every report they filed intact and attributed, which is what you need if an incident they documented is ever questioned.

In the field

Does clock-in verify where the officer actually is?

Not today. Clock-in records the time and the post the officer was assigned to. It does not capture or check GPS coordinates, so it proves when someone started a shift, not where they were standing.

GPS-verified clock-in and geofenced posts are on the roadmap. We would rather tell you that plainly than let you find out during an audit — if verified presence is contractually required by one of your clients, say so when you talk to us and we will be straight with you about timing.

Do you support patrol tours and checkpoint scanning?

Not yet. There is no checkpoint or tour scanning in the product today. Officers file patrol activity as daily-activity reports, which are timestamped, attributable and exportable — but there is no scan-by-scan tour record.

Checkpoint tours are the next major feature being built. If tour compliance is written into your client contracts, tell us during your evaluation rather than after.

The date, time or location filled in by itself. Is that right?

Yes, that is deliberate. Reports pre-fill the current date and time, and the location fills from the officer's assigned post — or from the alarm site if they were dispatched to one. Every one of those fields can still be edited before submitting, for the times an officer writes the report after the fact.

Why did an alarm close on its own?

When an officer submits an alarm response report, the alarm it was attached to resolves automatically and the response time is calculated from dispatch to resolution. The alternative is asking a human to close the same event twice, and that is exactly the step that gets forgotten at 3am.

The alarm's history keeps the full chain: received, dispatched, responded, resolved — with the officer and the timestamp on each.

Photos won't attach to a report

Each file must be under 10 MB and there is a limit of 10 files per report. Accepted formats are JPG, PNG, WEBP, HEIC and PDF. On a weak connection, submit the report first — the photos upload after the report is created, so the report itself is never lost.

Clients and reporting

A client says they can't see a report

Clients only see reports with a status of Reviewed. If a supervisor hasn't approved it yet, it stays internal. Check the report's status first — this is the answer roughly nine times out of ten.

The other case is site access: confirm the client account has been granted the site the report was filed against.

Can clients download reports as PDFs?

Yes. A client can download any individual approved report, or a bundle of every approved report for a site over a date range, as a single PDF with a summary cover page. Photo evidence is embedded in the PDF, which is what makes it usable in an insurance claim.

Can we export our data?

Yes, at any time, and it stays available for 30 days after cancellation. Ask us and we will produce a full export of your company's records. Your data is yours — see the Terms.

Billing and security

How do I change plan, payment method, or cancel?

Account owners can manage all three under Settings → Billing. Cancellation takes effect at the end of the current billing period, and your data stays exportable for 30 days after that.

How is the bill calculated?

By active site, not by guard. Your plan includes a number of sites and each site beyond that adds a fixed amount. Archiving a site when the contract ends removes it from the next bill.

Officers are unlimited on every plan. Give every guard their own login — you are never charged more for it, and shared logins are what break the audit trail you are paying us to keep.

Where is our data stored, and who can see it?

Every record is scoped to your company at the database level — another company's account cannot reach it, and access is denied by default rather than filtered afterwards. Evidence files are stored outside any public web directory with randomised names and are served only to authenticated, authorised requests; there is no public URL for a report photo.

We found a security issue

Please tell us before you tell anyone else. Email support@silverforgellc.com with the subject Security report. We acknowledge within 24 hours, we will not pursue researchers who report in good faith and give us reasonable time to fix, and we will credit you if you want the credit.

Status and maintenance

Planned maintenance is announced to account administrators by email at least 48 hours ahead and scheduled outside peak hours where possible. Security patching may occasionally need shorter notice. During an incident we post updates by email rather than making you refresh a page.
